Outlook Etiquette

If I have multiple accounts

  • If I have multiple accounts, one of them is the main one
  • If I have multiple calendars, my secondary is permanently blocked and refers to my primary calendar
  • My main calendar indicates my normal working hours

If I am Out Of Office (OOO)

  • My Outlook has an OOO-message which indicates my expected return date, when I can, also when I am ill
  • I cancel my attendance to meetings during my OOO time so others do not wait for me in vain
  • My calendar is blocked until I am expected back.

If I you send me an invitation

  • If the time is ‘free’ you may expect me to accept.
  • If the time is blocked ‘tentative’ I might decide later
  • If the time  has a status of ‘working elsewhere’ you may expect me to accept

When I react to invitations

  • In principle I always respond and within a day about my availability
  • If I decline, I return with an alternative proposal
  • If I confirm tentatively, I will indicate of what factor I am dependant

If I send an invitation

  • Where I can, I check other agenda’s for availability 
  • Where I can not check other agenda’s, I propose three alternatives
  • I include a clear topic for conversation/agenda

If I attend

  • You may expect me to be in time and have read the documentation
  • If I am 5 minutes late there is a reason
  • If I am 20 minutes late I will offer apple pie to all in the call

If there is a big round

  • I will not start or respond to ‘good morning’ etc. unless I am chair person 
  • Standard, my camera is ‘on’ and my microphone on ‘mute’.
  • Unless I was the previous speaker/questionner, I will request ‘the word’ by raising my hand.

If I speak:

  • I try to bring content useful for other participants
  • I will not ramble on just justifying myself
  • I insist on obtaining useful content from other participants

And with all, I make plenty of mistakes, so I request your kindness in heart when judging me.
